Document Lookup

The Document Lookup allows you to search for Advance Document Management (ADM) documents.  This lookup is only available to licensed ADM users.

 

Note: The Document Lookup does not allow you to search for documents that exist for a specific entity based on an Entity ID number. If you wish to locate documents for a specific entity, navigate to the Documents List for the entity, or use the Document Lookup to perform an Advanced query.

Note: If you are performing a template lookup, some of the fields described below may not appear on the form.

 

Data Fields:

 

Doc Type

The type of document you wish to look up. Examples may include Allocation Request, Donor Survey or Picture. Values in this drop-down list are validated against the tms_document_type (YB) table.

Doc ID

The ID number of the document you wish to look up. All document ID numbers are generated by the system.

File Type

The file type of the document you wish to look up. Examples may include Text File, Tif File or Zip File. Values in this drop-down list are validated against the tms_document_file_type (YG) table.

Doc Source

The source from which the document you wish to look up originated. Examples may include Bank, Internet or Newspaper. Values in this drop-down list are validated against the tms_document_source (YC) table.

Description

The description of the document you wish to look up.

Page Count

The number of pages in the document you wish to look up or the range of pages you wish to look up.

Context

The type of context you wish to look up. Select "Advance Unassigned" if you wish to search for all documents that do not belong to a particular context. Values in this drop-down list are validated against the tms_document_context (YE) table.

Key Code

The key code associated with the document you wish to look up. Values in this drop-down list are validated against the tms_document_keycode (YD) table.

Keyword

A keyword that has been associated with the document you wish to look up. Multiple keywords can be entered by placing a comma or space between words.

Original Doc Location

The file location of the document you wish to look up.

Doc Date

The date the document you wish to look up was first scanned into the document file server, scanned into Advance, or loaded into Advance. It is important to note that when a document is scanned, the Document Date will default to the current date, however that date may be modified. Thus, if the document date for a document was modified when it was scanned, the date you enter in this lookup field may not always find the expected document. If there is any uncertainty as to the results of the search, it is recommended that you use the date range to further expand your search.

Date Added

The date that the document you wish to look up was first added to Advance.

Date Assigned

The date or range that the document you wish to look up was assigned to a context.

Date Modified

The date that the document you wish to look up was last modified.
