DataLoader - Reviewing the Data

DataLoader allows you to review and revise your input data before posting to your Advance database. Fields which display as editable may be changed at this time. This process should not be confused with the validation process, which is the process by which the system checks to make sure that the data in the rows is in fact valid.

 

To review a row of data:

  1. While current on the batch to be reviewed, click the ellipsis button to the left of the row.

  2. The Transaction Detail displays. In this application, you are presented with a side-by-side view of the ‘Proposed’ data and the ‘Current’ data for the entity. Depending on the Operation of the load (Add, Modify, Delete), information may or may not appear in the Current data display on the right side of the application. Current rows display for all ‘Modify’ and all ‘Delete’ operations, and Home/Business Address ‘Add’ operations, if there is an existing address of the same type.

  3. Navigation between records is accomplished by using the VCR buttons on the data form. The system will automatically advance to the next record when the action taken on the current record results in a status that is not included in the current filter, e.g., if you Validate a row, and Validated is not selected in the filter, the next record will display; if Validated is selected in your filter, the validated row will remain current.

 

Please note the following when working with these types of data:

 

Address selection

Multiple addresses may exist for an entity, so DataLoader allows you to select an address for modification from the addresses associated with an entity. While viewing the Transaction Detail with the address being loaded, if a modification is being made, you may select a different address to modify.

 

To select and validate an address:

  1. While current on the address record in the batch, choose Select Address from the Actions menu on the form header.

  2. In the Addresses window, click the radio button to indicate the address which you wish to be modified. Click OK to display the current address information in the transaction detail.

  3. With the Current address information and Proposed address information side-by-side, review the data and confirm the changes.

  4. Click Validate, Defer, or Discard, as appropriate. If the data validates without error, you may Post the changes. Addresses are a special case. Most addresses default to an Operation of Add even though the address might exist in Advance. This occurs because it is up to the person reviewing the row in DataLoader to decide whether the address is new or a change to an existing address. You can change the Add operation to Modify, or the data can be managed afterwards in Advance.

 

Employment and Address selection

When System Option 380, Link Business Address and Employment in DataLoader, is turned on, and there is an Add transaction for a business address and an Add transaction for an employment row for the same entity in a single batch, DataLoader will link the two of them together automatically. This works for bulk posting and single transactions if the employment row is posted after the address row.

If an entity has a primary employment row, it will display in the ‘Current’ column when viewing an individual Add transaction.

 

Telephone selection

If an entity has an existing telephone row of the same type that is being added, DataLoader will display in the ‘Current’ column when viewing an individual Add transaction. If there is more than one row that qualifies, DataLoader will display the one that is preferred, if the preferred telephone is of the same type. If not, DataLoader will display the most recently maintained telephone row of that type.

While viewing a telephone transaction (Add, Mod, Delete) a Select Telephone menu item appears in the Actions menu. Selecting this action displays a list of active phone numbers that can be used to replace the one displayed in the ‘Current’ column.

 

Email selection

If an entity has an existing email row of the same type that is being added, DataLoader will display in the ‘Current’ column when viewing an individual Add transaction. If there is more than one row that qualifies, DataLoader will display the one that is preferred, if the preferred email is of the same type. If not, DataLoader will display the most recently maintained email row of that type.

While viewing an email transaction (Add, Mod, Delete), a new Select Email menu item appears in the Actions menu. Selecting this action displays a list of active emails that can be used to replace the one displayed in the ‘Current’ column.
