Mass Invite

You may wish to build your invitation list from a saved list or current clipboard list. You can do this by using the Mass Invite branch on the Event Invitation Page Tree.

 

 

To use Mass Invite:

  1. While current on the invitation you wish to send to the list, select Mass Invite on the page tree.

  2. The Mass Invite Application displays. By default, the contents of the current clipboard display on the Entity List Form – select the "Current Entity Clipboard" if you wish to use this list; if there are no entities on the current clipboard, no records display on the form.

  3. If you have no entities displayed on the form, select the "Saved ID List" radio button to use a saved ID list. The Select List form displays, allowing you to select from the currently available lists on the clipboard. To select a list, click the radio button to the left of the appropriate row. Click OK and the list will display on the Entity List form.

  4. The Entity List Form is populated with the contents of the list you selected.

  5. If you wish to make a different selection, click   to display the Select List form and choose an ID list.

  6. Fill in the appropriate information on the Mass Invite Form and select the radio button for how you wish couples to be invited.

  7. Click 'Generate' to generate the Mass Invite records.

  8. When the Mass Invite Confirmation displays, click 'OK’.

  9. The Mass Invite Confirmation list displays.

 

 

 

Fields on the Mass Invite form include:

 

Status

Indicates the status of the invitation; this drop-down list validates against the Event Invitation Status table (tms_event_invitation_status, EV69).

Date

The date of the invitation; defaults to the current date.

Allow Duplicates

When this checkbox is checked, it indicates you will allow duplicate records to be created if the entity is listed twice in either the Entity Clipboard or Entity List form.

Signer ID

Indicates the signer of the invitation. Select from the drop-down list or, if you do not know the entity ID of the signer, press F2 to look up the signer.

Note

This text field may be used to store up to 255 characters of additional mass invitation information.

Don’t Generate Couples

Use this radio button if you wish couples to be listed individually on the list.

Generate Couples if Both are Listed

Use this radio button if you wish to list couples only if both are on the list.

Always generate Couples

Use this radio button if you wish to generate couples on the list.
