Entity Update Request via Email Notification

The Entity Update Request application provides your organization, development officers, and fundraising staff with the ability to maintain biographical information about prospects or donors.

 

System option 260 allows you to specify whether you wish to use DataLoader for entity updates or send entity update requests via email. The information below describes the process of sending entity updates via email.

 

When you click Send to send the Entity Update Request, the information is sent to a designated staff member via email. The designated staff member can then apply the information to the entity's record. How do I designate a staff member to be the recipient of entity updates?

 

In addition to system option 260, system option 399 allows you to determine whether all fields on the Entity Update application will be included in the email sent to the designated recipient to process the changes, or whether only the fields that contain modifications made through Entity Update will be included in the email. This system option aims to increase productivity as it will allow the person reviewing the information to easily determine what changed without having to refer back to the entity’s record to manually compile that list prior to processing the changes.

 

To access the Entity Update Request:

  1. Perform a Lookup, using either the Entity’s name or Entity ID to display the Entity Profile.

  2. Click 'Entity Update'  on the Page Tree.

 

To update biographical information:

  1. If the entity exists in the database, enter the ID number of the entity in the Entity ID field, otherwise leave this field blank.

  2. In the Last Name field, enter the entity's last name. Required.

  3. Enter all other applicable information.

  4. In the Form Header, click Send.

 

 

Note: Information entered in the 'Instructions' field on the bottom of the Form will appear at the top of the email the designated staff member receives regarding the Entity Update.
