Contact Information

The Contact Information  section of the Entity Profile displays the primary Home and Business addresses, telephone number, and the preferred and active Email Address. If the Telephone is the preferred telephone, it is followed by the telephone type code and the text 'Pref', for example (H, Pref).

 

An email address is considered preferred, when the Preferred check box in the Email Form is checked and the status of the email address is Active. If the status is anything other than Active, the email will not appear in this form. Preferred email appears directly under the physical Home Address. If the entity does not have a Preferred Email, or if no email is Active, the word "None" appears under the Preferred Email hyperlink. If the entity is deceased, the Preferred Email does not appear regardless of whether and active and preferred record exists, the same way Home and Business Address information do not appear for deceased entities. This occurs in order to ensure inappropriate emails are not sent to a deceased entity.

 

A telephone linked to an address displays with the address. Linking occurs automatically when a Home or Business address is added and the Home or Business telephone is added at the same time. Telephones can be manually linked to an address via the Telephone application.

 

There are two ways to access the Entity Profile:

  1. Perform a Lookup, using either the Entity’s name or Entity ID to display the Entity Profile page.

  1. On the Main Menu, click 'Go To’.

  2. Click the Entity Profile Application (Application ID 1101)

  3. Enter an Entity ID in the 'Open with ID Lookup' field.

  4. After you have specified an application and ID number, click Go.

 

To drill down to further levels of detail regarding the entity's addresses:

  1. Click Biographic on the Page Tree

  2. Select Addresses.
