Canceling a Registration

In canceling a registration, credits will have to be created for the amount paid on the registration because overpayments are not allowed for a registration.

To cancel a registration, on the Registration Form:

  1. Select Cancelled from the status drop-down list and click Save on the form header.

  2. When you click Save, if system option 250 (Batching in Financial Transactions) is turned on, and a batch has not already been selected, the Select as Current Event Batch form displays. Select a batch and click OK.

  3. When you click Save, if the registration is utilizing resources, the system informs you these resources will be made available for others to use. Clicking OK continues the cancellation process. Clicking Cancel returns you to the Registration form without making any changes.

  4. Additionally, after you click Save, and after you click OK on the Resources message, if the registration has fees, the system will ask you whether you wish to clear the fees. This provides additional information on the result of clicking on each of the buttons. If you click Cancel, the process will be cancelled. If you click No, the save will continue, but the fees will not get cleared (they will display as a Balance on the Apply Credits Form). If you choose Yes, the save will continue and the fees will be cleared.

  5. Next, the system checks to see if there are registrations that were paid. If there is at least one registration with a payment, you are prompted to enter the account number, change reason, and transaction date the credits will be applied to.

  6. Once you have entered all of the information, click OK to cancel the registration; Cancel to leave the registration with its current status.

Note: Name-only registrant financial transactions related to events, e.g., payments, refunds, etc., are handled in the same manner as those for Entity registrants, with the exception of applying credits. Applying credits for a name-only registrant is not supported and should be handled outside of Advance Web.
